What do I need to prepare for a Remote Online Notarization session?

To ensure a smooth signing process, you'll need:

• A device with audio-visual capabilities (e.g., a smartphone, tablet, or computer).

• Reliable internet access for uninterrupted communication.

• A valid ID (see acceptable ID options here ).

• Your documents in PDF format. If your document isn't in PDF format, let your notary know so they can try to accommodate, though it may slightly delay the process.

How does Remote Online Notarization work?

• Remote Online Notarization (RON) allows documents to be notarized completely online using secure audio-video technology.
  Here’s how it works:

• Connect Securely: The signer and notary meet through a state-approved, encrypted video platform.

• Verify Identity: The signer’s ID is verified through credential analysis and knowledge-based authentication (KBA) to ensure security and compliance.

• Sign & Notarize: Once verified, the signer applies their electronic signature, and the notary affixes a digital seal.

• Receive Your Documents: The completed, notarized document is instantly available for download and can be securely shared or printed.

Is Remote Online Notarization legal?

Yes, RON is legal in many states across the U.S., including Texas. Each state has specific regulations, but RON is widely accepted.

What types of documents can be notarized online?

Almost any document that requires notarization — including real estate documents (excluding Home Equity Lines of Credit, or HELOCs), affidavits, powers of attorney, and more — can be notarized online. 

How long will it take to notarize my document?

The duration of the notarization process depends on the length of the document and the number of signers. For non-real estate documents, the process typically takes 5 to 15 minutes. For real estate documents, it may take 30 to 60 minutes, depending on the complexity of the paperwork and the number of parties involved.

What is the process for Remote Online Notarization?

To get started, you will schedule your appointment and receive detailed instructions about the process and what to expect during the signing. Here's what you will receive when scheduling:

Things to know for a smooth signing experience:

1. Have a valid ID ready for verification during the signing session.

2. Ensure a stable internet connection for the best experience.

3. Complete all sections of the document except for the spaces designated for the Signer and Notary signatures and dates. We will finalize and sign those sections together during our virtual meeting. Please do not sign the document before our meeting.

4. Address any questions or concerns about the document beforehand. As a notary, I cannot provide legal advice or explain the content of the document.

5. Double-check the names of the signer(s) to ensure they match exactly as they appear on the document. Include any middle initials, prefixes, suffixes, and maiden names where applicable. Any discrepancies in names could cause delays in the signing process.

What if I make a mistake during my notarization?

Notaries are trained to ensure accuracy, and the secure platform minimizes errors. If an issue arises, the session can be redone.

Can you notarize documents for someone in another state?

Yes, as long as the document is legally allowed to be notarized online.

Who needs to sign my document?

Very common question, unfortunately, Notaries cannot legally say who needs to sign your document. We recommend reaching out to a lawyer or the individual who instructed you to get the document notarized.

How much does online notarization cost?

Pricing varies by service, but the standard online notarization typically costs $25 per notarial certificate. Additionally:

• A $10 technology fee per session applies.
  
  

• Each additional signer on the same session adds $10.
  
  

A notarial certificate refers to the section of the document that includes the notary’s seal, signature, and credentials. If a document contains multiple notarial certificates, the charge is $25 for each certificate.

Notary Pricing Examples

1. One Signer, One Notarial Certificate
   Fee: $25 for the certificate + $10 technology fee
   Total: $25 + $10 = $35
   
   

2. One Signer, Multiple Notarial Certificates
   Fee: $25 per certificate + $10 technology fee
   Total for 2 certificates: $25 + $25 + $10 = $60
   
   

3. Multiple Signers, One Notarial Certificate
   Fee: $25 for the certificate + $10 technology fee + $10 per additional signer
   Total for 3 signers: $25 + $10 + $10 + $10 = $55
   
   

4. Multiple Signers, Multiple Notarial Certificates
   Fee: $25 per certificate + $10 technology fee + $10 per additional signer
   Total for 2 certificates and 3 signers: $25 + $25 + $10 + $10 + $10 = $80
   
   All fees are disclosed before your session begins.

Each session includes secure ID verification, digital recording, and electronic document storage as required by Texas RON law.

Are there additional fees for multiple seals on the same document?

Yes. There will be a $25 charge for each notarial certificate on the same document. This means that every time the notary is required to affix their seal, signature, and credentials to a document, a $25 fee will apply for each certificate.

Do I need to download any special software?

No, you can access the notarization session through a secure link sent to you.

How is my identity verified?

Identity is verified through credential analysis and knowledge-based authentication (KBA) questions before the notarization session begins. This means the signer’s identity is confirmed by checking their government-issued ID for authenticity (credential analysis) and by answering a few personal questions pulled from public records (knowledge-based authentication) — similar to security questions used by banks or credit companies. 

How do I know if my document will be accepted after the online notarization?

Most online notarized documents are accepted nationwide. However, you should confirm with the requesting party before proceeding.

Can I get a certified copy of my document through RON?

No, I do not currently offer certified copy services through Remote Online Notarization.

In Texas, notaries are limited in what types of certified copies they can make, and this service is not available online at this time.
